Year Groups, Forms and Houses

It is important to have Registration Forms on the system as they define the range of age groups you can create events, clubs, and activities for.

Keeping Houses on the system is not necessary, although you will need them if you do house events/fixtures within your school.

If you have MIS integration included in your subscription, then you don’t need to do anything to ensure your forms, houses and students are up to date. They will be added when your integration is set up at the start of your subscription and then will be updated on a nightly basis.

If MIS integration is not included within your subscription, you will need to keep Registration Forms and Houses up to date manually. To be able to manage Forms and Houses you will need to have a School Admin or Manager role.

When you have MIS integration included within your subscription, your Registration Forms and Houses in Squad in Touch will fully match those in your MIS. When you are managing your Registration Forms and Houses manually, you can select if you would like to maintain the detailed structure of Registration Forms or just use Year 1, Year 2 etc. instead (as an example).

You can access the list of Forms via School > Forms tab.

The list of Forms can be filtered by the Form name or Year group. To search the forms click the FILTER button, select the search criteria and click the APPLY FILTER button. The CLEAR FILTER button is used to clear the selection criteria.

Adding a Registration Form

To add a new Form click the ACTIONS > Create form button.

You will need to add a Form name and select the Year Group that this Form needs to be linked to.

If the Form you are trying to add already exists, you will get a system message advising you to change the form name.

Editing a Registration Form

You can amend the Form name or link it to another Year group. To edit a Form select it on the list and click the EDIT button on the Summary tab.

Once you have updated the Form details, click the SAVE button for the changes to be applied. If the Form you are trying to update already exists, you will get a system message advising you to change a form name.

Removing a Registration Form

You can remove a Registration form you don’t need anymore. To remove a Form select it and click the ACTIONS > Remove form button.

Once you have confirmed removing, the Form will be deleted from your school account.

 

Please be aware that after you have removed a form, all students that had been linked to it won’t be linked to any Year group. This won’t allow you to select them for any events you are creating on the platform. IF you would like to keep all the students together however their form name has changed you can simply rename the form by editing it as explained above.

Managing Houses

Houses List

You can access the list of Houses via School > Houses tab.

The list of Houses can be filtered by name. To search the houses click the FILTER button, select the search criteria and click the APPLY FILTER button. The CLEAR FILTER button is used to clear the selection criteria.

To add a new House click the ACTIONS > Create house button.

You need to add a House name. You can also add a description and assign a colour (colours) associated with the House you are adding.

You can amend the House name or description, or change its colours. To edit a House select it on the list and click the EDIT button on the Summary tab.

You can remove a House you don’t need anymore. To remove a House select it and click the ACTIONS > Delete house button.

If you have MIS integration included in your subscription it is strongly recommended that you don’t add, remove or change any forms or houses details. All the changes done on your MIS will be applied automatically to the data on Squad in Touch during the next synchronisation. You can still change the house colours if they have any though.
